Pre-Receiving: Critical Yet Overlooked Streamlining Warehouse Operations

Managing your inventory can be a herculean task if you have a ton of orders pouring in and out of your warehouse every day. After all, the takeaway in running a successful physical product business is to ensure the smooth transit of packages and proper updation of the inventory.

Companies try to streamline their business processes to the greatest extent possible, which is, in fact, necessary to operate a business. A very major but often overlooked aspect of streamlining such procedures is ‘Pre-receiving’.

The term ‘pre-receiving’ refers to an intermediary stage between the delivery of goods at the warehouse storage, and updating of the inventory.  This is the part where the warehouse manager checks the incoming cargo either casually or formally for any discrepancies.

Since the axis of this article is pivoted around warehouse transfer, we will use it as a reference to shed more light on the topic.

Pre-receiving goods in a warehouse transfer simply mean that the incoming cargo is analysed and checked to match the purchase receipt. This process has several smaller tasks which can be queued as:

  • Updating your suppliers/shippers/carriers with the exact protocols and requirements about labelling (label position and mentioned information), items per package/carton, desired package size/weight and type of delivery mechanism (pallets or loose cargo).
  • Performing visual inspection of the cargo once it has reached the warehouse, and creating a pre-receiving report based upon it.
  • Checking and matching the number and type of items received against the bill of lading. Further informing the carrier/supplier about any missing, damaged or unwanted products.
  • Signing off the bill of lading to release the carrier, and sending back any damaged products if the carrier is ready to take them away at the same time.
  • Comparing items listed in the bill of lading, against the pre-receiving report.
  • Assigning/moving goods to their respective storage area/department and receiving the purchase order through purchase receipt of inventory entry.

Pre-receiving has its own benefits. It streamlines your receiving process and minimizes the slightest chance of discrepancy and error in the inventory. Some benefits of the pre-receiving process are:

  • Your suppliers will be aware of the proper format of labelling, and your carriers will be pre-informed about keeping relevant paperwork and how to stack the cargo. This will save the time and effort of both the parties while delivering goods.
  • Pre-receiving will eliminate any mismatch of information at the warehouse, which also includes preventing the entry of any left out packages and wrong updation of the inventory.
  • You can schedule and organize the delivery means and structure by analyzing the kind of warehouse machinery, space and workforce you have. Thus avoiding any unwanted overhead costs or hassles.

Pre-receiving a warehouse transfer ensures proper transfer of goods and updation of inventory, which in turn will improve your overall work procedure and order fulfilment time. Thus allowing you to serve your customers better. Warehouse Management System optimizes all warehousing operations
